Nine to twelve people is an awkward number. Too many for an 8-seater, not enough to fill a 16. So the 12-seater ends up covering that gap, and it's often the size we suggest for groups of eight as well, purely because of what they're carrying. Most 12 seater minibus hire London requests we get are really luggage questions in disguise.
The luggage maths
Empty seats are luggage space. That's the whole trick. A 12-seater carrying eight people has four spare seats and its normal rear space for bags, which is a lot more room than an 8-seater with every seat taken.
So the question to ask isn't how many people. It's how many people and how many big cases. A family of nine going to Gatwick for a week in Spain might be fine in a 12-seater. Twelve people flying to Orlando for three weeks, with two cases each, won't be, and that's a 16-seater or two vehicles.
Pushchairs and car seats count as luggage for this purpose. So do the duty-free bags and the shopping that somehow appears on the way home.
Hand luggage counts too. Twelve rucksacks on twelve laps for an hour gets old quickly.
Airport runs with a 12-seater
A lot of 12-seater bookings are early-morning airport runs in the school holidays. Stansted and Luton flights to the Mediterranean leave early, and a family group of ten needs to be at bag drop well before the desks get busy. From north and east London, the M11 to Stansted and the M1 to Luton are usually clear before six. Coming back on a Saturday afternoon is a different story.
For the return leg, we take the flight number when you book, and the driver checks the landing time before setting off. Tell us how you'd like to meet, at the official pickup area or in the arrivals hall.
Golf trips and family holidays
Golf is a classic 12-seater booking. Eight players, eight bags, and clubs that need to lie flat rather than be wedged in at an angle. The extra seats give the room. If you're heading to a course outside London for the day, tell us the tee time and we'll plan the pickup backwards from it, with a bit of slack for the M25.
For golf weekends further afield, say the Kent coast or up to Norfolk, the extra room makes two or three hours each way a lot easier on everyone's knees.
Big family holidays work the same way. Three generations, a couple of pushchairs, a wheelchair that folds, and the cases. A 12-seater means everyone travels together, and nobody has to explain to the grandparents why they're in a separate cab.
12 seater minibus hire London for clubs and schools
Youth football teams, Scout groups, choirs and small school groups often land on 12 seats. It's enough for a squad and a couple of adults without paying for a vehicle half empty. Scout and Guide groups heading to a campsite in Kent or the Chilterns are a regular example, with kit that needs the spare seats as much as the children do.
Once a vehicle has more than eight passenger seats, it falls under different rules. Any operator carrying paying passengers in it needs a PSV operator licence, and the driver needs a D1 entitlement and a Driver CPC. Some schools run their own minibus under a section 19 permit. Hiring one with a driver takes the licensing and driver checks off the school's list.
Booking a 12-seater in busy weeks
The first Saturday of the summer holidays is the hardest day of the year to find one. Every family with a Saturday flight has the same idea. Half-term Fridays come close, and so do the weeks before Christmas, when office teams want something for the party that isn't a 16-seater.
Bank holiday Mondays catch people out too. Coming back from Stansted or Gatwick on the Monday afternoon can be slow, so allow for it if anyone's at work the next morning.
If your date sits in one of those, book as soon as the flights are confirmed. Nobody wants to be looking for a vehicle the week before.
Is 12 the right number?
A few quick rules. If you're nine or ten with light bags, a 12-seater is comfortable. If you're eleven or twelve with suitcases, look at a 14 or 16. If you might add people later, go up a size now rather than hope.
And if the group splits on the way back, you don't have to book the same vehicle both ways. If anyone in the group uses a wheelchair, tell us early. A chair that folds can travel as luggage if the passenger can transfer to a seat. One that doesn't fold needs a vehicle with the right access.
Long trips are worth a thought too. Twelve adults for three hours in a 12-seater is fine but cosy. If the group is all adults and the trip is long, a 14 or 16 with a few empty seats is more comfortable, and the cost difference may be smaller than you'd guess.
A 12-seater out and an 8-seater home is a common booking for weddings and holidays where a few people stay on.
Not sure? Give us the head count, the number of large cases and the trip, and we'll tell you straight which size fits. It takes a couple of minutes on the phone and saves a lot of shuffling on the day.
